The Inventory Count module allows you to count all the parts managed in KanbanBOX by simply scanning the barcode and declaring the quantity actually present in the warehouse.
In KanbanBOX you can deal with periodic inventory counts (such as annual) or with continuous inventory counts.
- Periodic: an inventory count done at fixed intervals, typically once a year (sometimes quarterly).
- Continuous: the inventory is counted regularly and systematically, often daily or weekly, with specific items or sections rotating, in order to guarantee an ongoing accuracy of inventory levels and quickly catch discrepancies.
Opening an Inventory Count
Procedure:
- Go to
Settings >
Company settings
- At the section Inventory Count (with the module already activated), enter the name of the current inventory count or, otherwise enable continuous inventory, then fill in the Period within which the reading is considered duplicate field.
By enabling the continuous inventory, the name will become continuous and will not be editable.

The counting
The actual count can be done using Inventory Count menu inside the KanbanBOX App (available for Android and iOS).
- Login with the credentials and select the Inventory Count menu.
- Scan the barcode of kanban cards in the warehouse and enter the actual quantity in the box.
The card added to the Inventory count will maintain its status at the time of insertion.
Error cases

After each scanning, KanbanBOX shows a log message that informs the user if the count happened correctly or not.
In case of an error in entering the quantities, it is not possible to read the barcode again with the terminal and re-enter the correct quantity. KanbanBOX will give an error message for "kanban already inventoried".
It is not possible to read with the inventory count cards that in KanbanBOX are already consumed and released and therefore have already generated a new Kanban ID.
To manage some of the anomalies, read the guide on excess kanban .
Add a card to the inventory count from the Web Interface
It is possibile to add a card to the current inventory count from the KanbanBOX Web Interface, using the dedicated widget.
- Get inside Home and click on Edit your home page.
- Search for the widget Add cards to the inventory and select
Add widget. - The widget is now present inside the homepage
- Insert the ID of the card to add to the current Inventory Count and click on
Submit.
If the card we are adding into the Inventory Count using the widget is not in Full status, then a pop-up will ask if you want to declare it to Full.

Report and analysis
Once the inventory count is completed, go to
Master data >
Parts >
Inventory Count.
In this page, the following tables are available:
Inventory count
The Inventory count table will show all the cards that are present in the current inventory count.
For those cards that, at the time of the inventory count, are in a state other than Full, you can declare the individual rows as Full with the icon
under the column Operations.
The table is named after the name of the inventory count (if it is a nominal periodic inventory); otherwise, it is named after Continuous inventory.
In case of a continuous inventory count, inventoried cards will be automatically removed from this table once the Period within which the reading is considered duplicate has passed.
EXAMPLE: Let's suppose that the Period within which the reading is considered duplicate is 10 days: before ten days have passed, any readings of the same card will be considered as duplicates; once the ten days have passed from the card’s entry date, the card is automatically removed from the Inventory count table in order to reset its stock and allow for a new count.

Cards on board missing from inventory count
The table Cards on board missing from inventory count will show all the cards that are currently in the Full status on the board and have not been inventoried yet.
The table is pre-filtered to show cards in the Full status, but it is also possible to view the cards that have not yet been inventoried and are in the Done or In transit status.
All the cards that were in Full status at the time of inventory but were not added to the inventory (for example, because they were not found and scanned) can be marked as Released using the Declare kanban as released button
in the Operations column.
Releasing the cards in the Full status that were not found during inventory is necessary to properly realign KanbanBOX with the actual situation in the warehouse or the inventoried areas.

Inventory history
The Inventory history table shows all the inventory counts that have been carried out under the license.
In the case of a continuous inventory count, the Inventory history will show all the cards that were removed from the Inventory count table once the Period within which the reading is considered duplicate has passed.
In the case of a nominal inventory count, the Inventory history will show the cards that were inventoried before the current nominal inventory — that is, all the cards belonging to inventories that precede the active inventory listed in the Inventory count table.
