What's a Workflow?
A Workflow is a tool that allows to configure the execution of operations that are part of pre-established procedures. With a Workflow is possible, when a specific event happens in KanbanBOX, ask some additional information to the user or execute an automatic action.
Examples:
- When a user sets a kanban card
"Full", KanbanBOX asks the user to confirm the card quantity.
- When a user sets a kanban card
"Full", KanbanBOX asks the user to insert the card storage location.
- When a user sets a kanban card
"In process", the card is automatically sent to the user printing queue.
Types of Workflow
In KanbanBOX the following types of operations are configurable:
Operation | Operation Type | Description |
---|---|---|
Question (2 answers) | Manual | To ask an information to the user as question with two available answer options. The selected answer is saved in a kanban card field. |
Text input | Manual | To ask an information to the user as free text. The text is saved in a kanban card field. |
Automatic action | Automatic | To automatically perform an action that does not required the user participation. |
A Workflow with a manual operation can be configured with a single operation or by combining two or more operations.
How to Activate Workflow
Procedure:
- Go to
Settings >
Company settings.
- Scroll to the section Workflow
- In the field Enable Workflow select "Yes". The activation of this module can affect the subscription cost.
How to configure a Workflow
Procedure:
- Get in
Settings >
Workflow.
- Create a new Workflow by clicking at the top right of the table
Add Workflow.

In the new screen, fill these fields:
Field Description Name Action performed by the Workflow. For example “Request operator code” or “Insert Picking Location” or “Print kanban card”, etc. Description Description of the action performed by the Workflow. -
In the Step 1 session, select the operation to perform with the Workflow and configure the operation. To configure operations, refer to the articles Manual Operations and Automatic Operations.
- To add operations to be performed with the first one, fill in the Step 2 session and subsequents.
- Click
Save.
To perform the workflow, configure the related Workflow Trigger as explained in the guide Create and update a Workflow trigger.
Update a Workflow
Procedure to update a Workflow:
- Get in
Settings >
Workflow.
- In the Workflow table, search the Workflow to modify, and then in the related row click
Edit.
- Modify the Workflow according to your needs.
- After that, click
Save to update the Workflow.
Delete a Workflow
To delete a Workflow, the triggers related to the workflow have to be removed.
When there are no triggers associated to the Workflow, it is possible to delete the Workflow following this procedure:
- Get in
Settings >
Workflow.
- In the Workflow table, search the Workflow to delete and then in the related row click
Delete.
- Click on
Delete to confirm.
