What is Automatic Printing?
Automatic printing allows you to automatically print a card when an event occurs in KanbanBOX by sending it to a predefined printer.
For the automatic printing rules to work, the QZ-Tray software must be correctly installed and active on the PC. The installation procedure can be found at the following link: Installation of additional components for silent printing.
Use Cases
- If the user who triggers the event is the same as the one selected for automatic printing, follow the procedure "How to configure automatic printing for the current user."
Example: The operator manually marks the card as "Done" on the board at the end of processing. KanbanBOX, following this event, sends the card to the printer. The operator applies the newly printed card to the finished product.
- If, instead, the user who triggers the event differs from the one selected for automatic printing, follow the procedure "How to configure sending the print to a shared station."
Example: KanbanBOX, through integration, receives a request from the ERP software to change the status of the cards to "In process", to generate a picking list. This event sends the cards to the print queue of a specific user. KanbanBOX then automatically prints the cards from the user's predefined printer. The operator, with the newly printed list, can start the picking process.
How to Configure Automatic Printing for the Current User
Procedure:

Add a new workflow with the following parameters:
- Operation: Automatic action
- Action: Print the card

Add the trigger for the workflow, selecting the event that will add the card to the current user's print queue. For more information, see the guide on Workflows.

Configure the print preferences for the current user*:
- Go to Settings > User Settings > Printing Preferences.
- Set Destination to Direct to print.
- Click on Save.

Configure the printer to use:
- Go to Print > Printer Selection Rule and add a new rule with the following parameters:
- Rule type = Specific user
- User who is printing = the current user*
- Action type = either System default printer or Send to configured printer (see difference)
- Rule status = On.
- Go to Print > Printer Selection Rule and add a new rule with the following parameters:

Current user: the user logged into the platform, who must have access to the printer.
How to Configure Sending the Print to a Shared Station
Procedure:

Add a new workflow with the following parameters:
- Operation: Automatic action
- Action: Add card to the print queue of a user
- Parameters: Choose the user associated with the shared station/target printer

Add the trigger for the workflow, selecting the event that will add the card to the print queue of the previously selected user. For more information, see the guide on Workflows.

In Home, click the Edit your home page button.
- Add the Start automatic printing widget.
- Click the Start automatic printing button: a new window opens that must always remain open to allow QZ-Tray to receive the user's print queue and send it to the printer.
