What is the import of components?
Through the Parts import form it's possible to load massively a large number of items within the Parts master of KanbanBOX.
How to import new components
Procedure:
- Access
Master data >
Import >
Parts;
- In the page Parts import (add or update) click on import_part.xlsx
in the field Download Excel template;
- The empty Excel file is automatically downloaded: here you can enter the new item numbers;
- Open the Excel file import_part.xlsx;
- The first sheet Help shows a brief guide on how to fill in the file. To insert the new parts, click on the second sheet Parts;
- Fill in all the data (see details below, in the compilation guide);
- Save the Excel file (keeping the name import_part.xlsx is not mandatory);
- Re-enter KanbanBOX in
Master data >
Import >
Parts;
- In the field Excel file for Components click on Choose file;
- Search for and select the file saved in point 8;
- Click on Open;
- The file is now selected and loaded into the space provided. Then click on
Parts import (add or update);

In the new screen, the data entered in the Excel will be re-proposed. Pay particular attention to the last two columns:
Field Description Errors If the import causes an error, the line will be placed at the top of the code list and will not be imported to the system. It is possible to know the reason for the error in this column. Action Update: the component is not new, but it will be updated into the KanbanBOX Parts master. Attention: every updated part loses all the information previously entered in all fields and acquires the new ones inserted in the Excel file! Add new: a new part is added in the Parts master.

Click on
Import data in KanbanBOX to complete the import. The data will now be entered into the Parts master.
How to update items by the import
Procedure:
- Access
Master data >
Parts >
Parts list;
- In the table, filter the codes you want to update;
- Click on the icon in the table menu
Export parts for import;
- The file import_part.xlsx is downloaded automatically: it contains all the codes filtered in the table Parts master;
- Open the Excel file import_part.xlsx;
- The first sheet Help shows a brief guide on how to fill in the file. To modify the parts number, click on the second sheet Parts;
- Edit the file and save it (keeping the name import_part.xlsx is not mandatory);
- Go back to KanbanBOX in
Master data >
Import >
Parts;
- In the field Excel file for Components click on Choose file;
- Search for and select the file saved in step 7;
- Click on Open;
- The file is now selected and loaded into the space provided. Then click on
Parts import (add or update);

How to fill in the component import sheet
The sheet is divided into:
- Columns: based on the maximum number of fields that can be imported in the Parts master;
- Lines: number of codes that you want to massively import in the Parts master.
Column | Field | Description | Constraints |

1 | Part number | Component part number. | Required field. It must be filled in and unique in the parts master data. If a component is listed more than once in the same import file, but with different characteristics, all the rows will be discarded during the import. The maximum length is 255 characters. |

4 | Weight | Weight of a unit of material. By default, the weight (unit of measure) is the kilogram. Otherwise, change the unit of measurement for weight in the company settings. | Optional. It must be a number. |

6 | Part information | Additional information for the part. This field is disabled by default, you can request the activation to the KanbanBOX Team. | Optional. The maximum length is 15.000 characters. |

For each completed line, a new part number will be added to Parts master.
When filling in the data, follow these rules:
- Do not change the name of the sheet Parts or it will not be considered during the import;
- Do not change the name of the fields or the data will not be considered during the import;
- Additional sheets will not be considered during import;
- Additional columns will not be considered during import;
- Any missing columns will be considered as invalid values;
- The cells of the columns cannot contain formulas.
